Pick your week
Top-left selector sets the trading week (FY27 runs on a 4-4-5 calendar, weeks ending Sunday). Everything on the board — entries, reports, trends — follows the week you've got selected.
Nightly entry & cash up
Head to Nightly Cash Up and pick the day tab. Punch in revenue ex-GST (Food, Bev, Other) to match Xero and Lightspeed, plus covers and your shift comments. Till and tender figures stay gross for reconciliation.
- Under Daily Imports, drag & drop the night's Lightspeed sales CSV onto the Lightspeed zone (or click to browse) to pull the day's sales straight in — you'll get a preview before it loads.
- Float defaults to $14,000 — $5,200 in the tills, $1,500 in tins, and the rest (~$7,300) in the safe. Override per night if you're carrying something different.
- Enter the dollar value held in each denomination, not the number of notes.
Petty cash
Log every petty spend as you go on the Nightly Cash Up page, then top the tin back up from banking.
- Scroll to Petty Cash — this night, fill the entry (item, business name, GL code, GST type/amount, total, who approved it, and any notes) and hit + Add petty cash entry. Trading date defaults to that night, and GST auto-fills at 1/11 of the total when the type is "GST".
- Each entry adds to the running total, and the Petty cash row up in the safe count shows how much is out and still outstanding.
- When you refill the tin, hit ↩ Reimburse … from banking — it deducts the outstanding amount from tonight's expected cash (POS), stamps a note on the cash variance, and marks those entries reimbursed.
- The Petty Cash tab is the full ledger across every night: set a date range, tick off Reimbursed as you pay them back, and ⬇ Export CSV for the books.
GST: pick "GST Free" for anything without GST and it stays zero. You can always type the GST figure in by hand if the auto 1/11 isn't right for a line.
Banking
The Banking tab lists every bank bag from the nightly cash-ups in one place to tick off as you drop them.
- Bags come straight from the Bankings you record each night on the cash-up — nothing extra to key in here.
- Set the date range to cover the drop you're doing, tick Banked against each bag as it goes in (it stamps the date), and the totals up top show banked vs not yet banked.
- ⬇ Export CSV gives you the lot for the range — date, bag #, amount and banked status — for reconciling against the bank statement.
Labour (FOH / BOH / Admin)
Labour lands in three buckets. Best path is the weekly Tanda import (below) — it fills FOH, BOH and Admin straight from the cost-by-team-group export.
Heads-up: BOH carries a fixed $600/week of non-operational kitchen labour that isn't in Tanda. It's spread across your actual BOH labour automatically, so the weekly kitchen number and wage margin already include it.
Imports (drag & drop)
- Lightspeed — sales + top sellers. Discounts, surcharges and promos are skipped so revenue stays clean.
- Tanda — weekly labour cost. Only Osbourne rows are read; other venues in the same export are ignored.
- Forecast — the JSON forecast export drops in per day.
Drop the file on the matching zone (or click to browse). You'll get a preview before anything loads.
Wage margin — the red light
Wage margin is total labour ÷ revenue. Green means you're at or under target; red means you're over. That's your at-a-glance signal that labour's running hot for the trade you did.
End of Night & End of Week reports
End of Night builds the branded report for a single night — view it, copy it, email it, or save a PDF. End of Week rolls the week up, including a reconciliation that flags where your nightly entries and the Tanda import drift apart by more than 1% or $50.
Backups
Data lives in this browser on this machine — it doesn't travel with the file. Use Export data to grab a JSON backup, and Import data to restore or move to another machine. (Cloud sync is on the roadmap.)
